1. Introduction
Heritage Alliance Lanka (HAL) is committed to protecting the privacy and security of the personal information of our members and third parties who officially interact with us from time to time. This Privacy Policy/Personal Information Protection Policy (hereinafter referred to as ‘policy’) outlines how we collect, use, share, store, and protect personal information.
2. Scope
This policy applies to personal information of that we collect from members of HAL and third parties that interact with HAL, that are more fully described under Clause 3..
3. Collection of Personal Information
We collect personal information from individuals during the membership process. Also, we may collect such information from third parties who deal with HSFL from time to time. This information may include, name, contact details (email, phone number, residential address), date of birth, professional and occupational details and, any additional information deemed necessary.
4. Storing Personal Information
HAL maintains a digital version of the personal information collected. We digitally store personal information in a cloud-based storage space (Google Drive) adhering to the best possible security measures. Backup copies of data are created and saved regularly in line with the standard digital data storage practices (refer to Clause 7).
5. Use of Personal Information
We do not disclose personal information to third parties unless required by law or with the explicit consent of the individual to whom the information belongs.

In some cases, we may engage third-party service providers to assist with membership administration or event management. These service providers are contractually bound to protect the confidentiality and security of personal information; hence, they are strictly permitted to use such information only for the specific purposes outlined in our agreement with them.
7. Data Security
HAL take all reasonable precautions to protect personal information from loss, misuse, unauthorized access, disclosure, alteration, or destruction. We are committed to implementing appropriate technical and organizational control measures to the best of our ability to ensure the security and confidentiality of personal information, including encryption, access controls, and regular security assessments.
8. Data Retention
We retain personal information that we collect only for as long as necessary to fulfil the purposes for which it was collected, or as required by law.
Once personal information is no longer needed for its intended purpose, we will securely delete and dispose of the information.
9. Individual Rights and Responsibilities
Individuals have the right to lodge a formal complaint if they believe their information has been mishandled and/or disclosed to a third party without their consent.
Such complaints must be made in writing and be directed to the Secretary of HAL.
Also, the member (or any third party) is responsible for informing the Secretary of HAL in writing when any changes to their personal information occur.
10. Policy Review and Updates
We may update this policy from time to time. The updated policy is deemed effective once communicated to the members via the agreed means of communication and published on our website.
11. Liability Clause
The committee members, either individually or collectively, shall not be held liable for a data breach or any consequence arising from a data breach if they have executed their responsibilities and duty of care adhering to the provisions stipulated in this policy. Furthermore, this clause ensures that provided, all reasonable and appropriate measures have been taken to protect personal data, the committee members are individually and collectively protected from legal liability for data breaches beyond their control.
